Confidentiality & workflow

One record, three audiences — each sees exactly the right fields

Cost next to catalog data is why most companies keep two copies of everything — and why the copies drift. SpecLatch keeps one record and lets the database decide who sees which fields. Try it: switch the audience and watch the same record redact itself.

Distributor — portal & quotes: 5 of 6 fields shown. The supplier stays confidential.

Three tiers, set per field

Every field definition is public, internal, or confidential. Records inherit the tier; documents, portal pages, API responses, search results, and exports all enforce it. There is no separate customer-safe copy to maintain — the record is the copy, filtered per audience.

  • Public: your website, portal, and API
  • Internal: pricing and commercial data for your team and partners
  • Confidential: suppliers, costs, and margins stay with engineering

Roles with tier ceilings

Members carry a role and a tier ceiling. A viewer capped at internal cannot see confidential fields on any screen, in any export, through any search — the ceiling is enforced at the data layer, not by hiding buttons.

  • Admin, editor, viewer roles per organization
  • Tier ceilings per member
  • API keys are read-only and tier-scoped — a website key can only read public data

Draft → review → published

Records move through an explicit workflow. Half-finished engineering work is structurally invisible to customer-facing surfaces: the portal and the API serve published records only, and submitting for review checks that required fields are actually filled.

  • Required-field gate before review, with per-org strictness modes
  • Review queue with approve / reject and comments
  • Only published records reach the portal and API

The engineering ↔ marketing bridge

The workflow is the handshake: engineering owns the data and publishes it; marketing consumes approved values in documents and web pages without re-typing them. Field-level history shows who changed what, when — and single values can be reverted.

  • Per-field revision history with revert
  • Comments and @mentions on records
  • An activity feed and in-app notifications for review outcomes
