SpecLatch vs spreadsheets

The spreadsheet was never the problem — the copies are

Excel is where most product catalogs are born, and for good reason. But one workbook becomes five copies — engineering's, marketing's, the price list, the website export — and engineered-product data has rules a spreadsheet can't enforce.

Credit where it's due

A comparison that pretends the other side has no strengths isn't worth your time — here's what the other column genuinely does well.

Everyone already knows it

No training, no onboarding, no procurement. For one person working through one analysis, a spreadsheet is still the fastest tool there is.

Infinitely flexible

No schema to design, no fields to define. Excel or Google Sheets will model anything you can imagine in an afternoon — which is exactly how every product catalog starts.

It goes everywhere

Every laptop opens it, every supplier emails it, every system imports it. XLSX is the closest thing product data has to a universal language.

Where it breaks down

Engineered-product data has rules — units, confidentiality, approval, generated documents — and this is where the category stops enforcing them.

Units live in column headers

“Torque (N·m)” is a label, not a rule — nothing stops a lb·ft value landing in the column, and showing both systems means a second column maintained by hand, wrong one cell at a time.

Every email forks the file

Send the workbook and there are two of it. Six months later the catalog, the price list, and the rep's copy each hold a slightly different number for the same spec — and nobody can say which is right.

One tab, every secret

Cost and margin sit three columns from the public specs. Hiding columns and protecting sheets is convention, not enforcement — the protection is “don't send the wrong file.”

Confidential fields
No

Hidden columns and protected sheets; one wrong send shares it all

Yes

Per-field tiers enforced on grid, PDFs, portal, and API

Yes

Generated from live data; affected documents flag themselves

Public website & API
No

Export, re-import, repeat

Yes

Hosted catalog and read API from the same record

Ad-hoc analysis, pivots, charts
Yes

Still the best tool there is for it

No

Export to XLSX and analyze in the spreadsheet — that's what it's for

The honest verdict

Stay with spreadsheets if…

  • One person maintains a handful of products and nothing is published from the file
  • The data is analysis — sizing runs, one-off studies — not a catalog of record
  • Nothing in the workbook is confidential and nobody else needs a copy

Switch when…

  • The same value lives in more than one file and they have started to disagree
  • Metric and imperial columns are converted and maintained by hand
  • Cost or margin sits in the same sheet as specs that customers see
  • Datasheets and web pages are retyped from the workbook instead of generated from it
